Job Description
The Personal Assistant (PA) will provide high-level executive and administrative support to the Managing Director by managing schedules, coordinating meetings and travel, handling confidential correspondence, and ensuring the smooth operation of the Executive Office. The role requires exceptional professionalism, discretion, organizational skills, and the ability to work in a fast-paced environment.
Key Responsibilities
• Manage the Managing Director's calendar, appointments, and meetings.
• Screen calls, emails, and correspondence.
• Prepare agendas, minutes, reports, and presentations.
• Coordinate travel, accommodation, and itineraries.
Office Coordination
• Liaise with internal departments and external stakeholders.
• Track action items and follow up on deadlines.
• Organize executive meetings and company events.
• Maintain confidential records and filing systems.
Communication
• Draft professional correspondence and reports.
• Act as the primary point of contact for the Executive Office.
• Ensure timely communication and follow-up with stakeholders.
Administrative Duties
• Prepare expense reports and executive documentation.
• Coordinate office supplies for the Executive Office.
• Support special projects as assigned by the Managing Director.
Qualifications
• Diploma or Degree in Business Administration, Office Management, or a related field.
Experience
• Minimum 5 years' experience as a Personal Assistant or Executive Assistant supporting senior executives.
• Experience in the Building & Construction industry is highly desirable.
• Experience coordinating travel, meetings, and executive correspondence.
Requirements & Qualifications
• Excellent written and verbal communication.
• Advanced Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Strong organizational and time-management skills.
• High level of confidentiality and professionalism.
• Ability to prioritize multiple tasks under pressure.
• Strong interpersonal and stakeholder management skills.
• Valid driver's licence is an advantage.
