Job Description

The Assistant Inventory Officer will support the Inventory Officer in the effective management, control, recording and distribution of the Company's construction materials, tools, equipment, consumables and other inventory. The position will assist with receiving, inspecting, recording, storing and issuing materials to projects and departments while ensuring that all inventory movements are properly documented and reconciled with approved procurement and financial records. The role requires strong attention to detail, numerical accuracy, record-keeping skills and the ability to work effectively with Procurement, Finance, Project and Site teams.

Key Responsibilities

A. Inventory Management • Assist with the day-to-day management of Company inventory. • Receive and verify construction materials, tools, equipment and consumables. • Check deliveries against approved purchase orders, quotations, invoices and delivery documentation. • Record all stock receipts and movements accurately. • Issue materials to authorised personnel and project sites based on approved requisitions. • Maintain accurate stock cards, inventory registers and electronic records. • Monitor stock levels and identify items requiring replenishment. • Assist with maintaining minimum and maximum stock levels. • Ensure inventory is properly labelled, organised and securely stored. B. Construction Materials & Site Support • Assist with the control and distribution of construction materials to project sites. • Monitor materials issued to projects against approved requisitions and project requirements. • Maintain records of materials transferred between the warehouse, office and project sites. • Assist Project Managers and Site Supervisors with material availability and inventory requirements. • Monitor high-value and critical construction materials. • Report damaged, missing, excess or obsolete materials to the Inventory Officer. • Assist with tracking tools, equipment and reusable construction assets. C. Procurement & Documentation • Assist the Procurement Team with inventory-related procurement activities. • Ensure approved BOMs, requisitions, quotations, purchase orders, invoices and GRNs are properly matched and filed. • Verify quantities received against purchase documentation. • Assist in identifying discrepancies between ordered, delivered and invoiced quantities. • Follow the Company's procurement procedures and approval processes. • Maintain proper documentation for audit and financial control purposes. D. Finance & Accounting Support • Assist Finance with inventory reconciliations and stock-related financial records. • Verify supplier invoices against purchase orders and goods received documentation. • Assist with identifying discrepancies in quantities, prices and invoices. • Maintain accurate records that support project costing and financial reporting. • Assist with monthly inventory reconciliation and reporting. • Support Finance with stock valuation information where required. • Ensure inventory transactions are accurately recorded and supported by appropriate documentation. E. Stocktaking & Reconciliation • Participate in scheduled and random physical stock counts. • Reconcile physical stock against inventory records. • Investigate and report stock variances. • Assist in preparing monthly inventory reports. • Identify slow-moving, damaged, obsolete or excess stock. • Maintain records of stock adjustments approved by Management. • Support internal and external audit requirements relating to inventory. F. Warehouse Administration • Ensure the warehouse and storage areas are maintained in an organised and safe condition. • Maintain proper filing of inventory documentation. • Assist with stock coding, labelling and categorisation. • Ensure materials are stored appropriately to prevent damage, deterioration or loss. • Maintain records of tools and equipment issued to employees and project teams. • Monitor returns of unused materials, tools and equipment.

Requirements & Qualifications

Essential: • Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, Procurement, Inventory Management, Logistics or a related field. • Minimum four (4) years' relevant work experience. • Previous experience in the Building & Construction industry is highly desirable. • Experience working with construction materials, warehouse operations or project inventory. • Good understanding of inventory control and stock reconciliation. • Basic understanding of accounting and financial documentation. • Experience handling purchase orders, invoices, requisitions and goods received documentation. • Strong Microsoft Excel skills. • Good numerical and record-keeping ability. Desirable: • Experience with accounting, inventory, ERP or payroll-related software. • Knowledge of construction materials and equipment. • Experience working with project-based inventory. • Knowledge of procurement procedures and internal controls. • Experience supporting Finance or Accounts teams. • Relevant professional training in inventory, procurement, accounting or logistics.
