Job Description

The Logistics Officer is responsible for coordinating the Company's logistics, material deliveries, equipment movements and general operational support across the Company's office and construction projects. The position will ensure that materials, equipment, tools, personnel and other resources are transported and delivered safely, efficiently and on time to project sites and operational locations. The role requires strong organisational, coordination, documentation, numerical and problem-solving skills, with a strong understanding of cost control and accountability.

Key Responsibilities

A. Logistics Coordination • Coordinate the movement of materials, equipment, tools and personnel between the Company's office, warehouse, suppliers and project sites. • Develop and maintain daily and weekly logistics schedules. • Coordinate deliveries to ensure materials reach project sites within required timeframes. • Liaise with Project Managers, Site Supervisors, Procurement, Inventory and Administration teams regarding logistics requirements. • Coordinate logistics requirements for new project mobilisation and demobilisation. • Monitor deliveries and provide timely updates to relevant Managers. • Coordinate urgent and priority deliveries as directed by Management. • Maintain accurate records of all logistics movements. B. Construction Project Logistics • Support Project Managers and Site Supervisors with project-specific logistics requirements. • Coordinate transportation of construction materials, machinery, tools and equipment to project sites. • Assist with mobilisation of materials and equipment for new projects. • Coordinate the movement of equipment between projects. • Track high-value equipment and materials during transportation. • Ensure appropriate documentation accompanies materials and equipment being transported. • Assist with site demobilisation and return of Company assets. C. Procurement & Supplier Coordination • Liaise with Procurement and suppliers regarding delivery schedules. • Follow up outstanding deliveries and purchase orders. • Verify delivered quantities against purchase orders, delivery dockets and goods received documentation. • Coordinate supplier deliveries to the warehouse or project sites. • Report shortages, damaged goods or delivery discrepancies. • Maintain supplier delivery records. • Assist Procurement with obtaining transport and freight quotations where required. • Ensure logistics activities comply with approved procurement procedures. D. Finance & Cost Control • Maintain accurate records of logistics-related expenditure. • Monitor transport, freight, fuel and vehicle-related costs. • Assist Finance with reconciliation of logistics invoices and supporting documents. • Verify invoices against delivery dockets, purchase orders and approved services. • Monitor logistics expenditure against approved budgets. • Prepare regular logistics cost reports. • Identify unnecessary or excessive logistics costs and report them to Management. • Maintain supporting documentation for audit and financial reporting purposes. E. Inventory & Asset Movement • Coordinate the movement of inventory, construction materials, tools and equipment. • Maintain records of materials and assets transported between locations. • Ensure all asset movements are authorised and documented. • Assist Inventory and Warehouse teams with stock transfers. • Track equipment and tools allocated to project sites. • Report lost, damaged or unaccounted-for Company assets. • Assist with periodic verification of assets and equipment at project locations. F. Documentation & Reporting • Maintain accurate logistics registers and records. • Prepare daily, weekly and monthly logistics reports. • Maintain vehicle movement registers, fuel records and delivery records. • Maintain freight and transportation documentation. • Track outstanding deliveries and logistics requests. • Prepare reports on vehicle utilisation, fuel consumption and logistics expenditure. • Ensure records are available for internal and external audit purposes.

Requirements & Qualifications

Essential: • Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Finance, Accounting, Business Administration, Procurement or a related discipline. • Minimum four (4) years' relevant professional experience. • Previous experience in the Building & Construction industry is highly desirable. • Demonstrated experience in logistics, or project logistics. • Good understanding of finance, accounting and cost-control principles. • Experience handling purchase orders, invoices, delivery dockets and related documentation. • Strong Microsoft Excel and reporting skills. • Good organisational and coordination skills. • Ability to manage multiple logistics requirements simultaneously. Desirable: • Experience supporting construction projects and remote project sites. • Experience in fleet and vehicle management. • Knowledge of construction materials, equipment and machinery. • Experience with ERP, accounting, inventory or procurement systems. • Knowledge of procurement and supply-chain processes. • Valid driver's licence. • Experience coordinating freight and transportation services within PNG.
